Registration procedure

• The only form of payment accepted through the on-line registration system is credit card (Visa, MasterCard ).
• Invoices are automatically generated by email confirmation through the on-line system for each registration made. If you register more than one delegate through the on-line system and you need an invoice for the amount paid, you will be provided with one for every delegate you register.
• Once payment has been authorised by the bank an automated email will be sent immediately to confirm payment. Your registration will be processed and confirmed within 5 working days, by email (to the email address provided).

To register more than one delegate:

• If you are a sponsor or an agency and wish to register ten or more delegates, you will be registered as a Group. Please contact groups@epilepsycongress.org
• If you are a sponsor or an agency, and wish to register less than ten delegates, you must register them individually providing each delegate’s full postal and email address. This information is required for security and insurance regulations. Registrations submitted with companies’ or agencies’ contact details will not be processed until delegates’ details are provided. Please contact registration@epilepsycongress.org
• Agencies registering delegates on behalf of any member of the pharmaceutical industry will be requested to provide the name and country of the sponsoring company. This information will be used for reporting and statistical purposes.

The on-line pre registration system will close on 19th February 2010.

*Junior Registrations must be accompanied by a copy of passport/ID card quoting date of birth, sent by e-mail or fax to the Congress Secretariat.

† All delegates applying for Special Reduced Registration must fax a clear copy of their passport to the congress secretariat at +353 1 2123576 as proof of their age. Alternatively a scanned copy of the passport can be sent to registration@epilepsycongress.org Reduced Junior rate available to nationals of the following countries as defined by the World Bank’s category of ‘Low Income Countries’: Afghanistan, Bangladesh, Benin, Burkina Faso, Burundi, Cambodia, Central African Republic, Chad, Comoros, Congo Dem. Rep., Eritrea, Ethiopia, Gambia The, Ghana, Guinea, Guinea-Bissau, Haiti, Kenya, Korea Dem. Rep., Kyrgyz Republic, Lao PDR, Liberia, Madagascar, Malawi, Mali, Mauritania, Mozambique, Myanmar, Nepal, Niger, Rwanda, Senegal, Sierra Leone, Somalia, Tajikistan, Tanzania, Togo, Uganda, Uzbekistan, Vietnam, Yemen Rep., Zambia, Zimbabwe.

†† Trainee registrations must be accompanied by a copy of passport and a certificate stating trainee status, sent by email or fax (+353 1 2123576) to the Congress Secretariat.

Currency exchanges are the responsibility of the registrant and the Congress Secretariat will not accept liability for money loss through bank charges, transfers or currency fluctuations.

Delegate Registration includes:

• Admission to main scientific programme sessions (upon display of badge)
• 2nd East Mediterranean Epilepsy Congress meeting bag and documentation

• Entry to the Welcoming Ceremony and Welcome Reception

• Complimentary half-day tour

Name changes

Any name changes made after 8th January 2010 will be subject to a surcharge of EUR 20.00. This surcharge is not refundable at any time.
Please send your requests for name changes to registration@epilepsycongress.org
Name changes should be clearly explained, detailing who is the delegate you wish to replace and providing full details for the new delegate you want to register (name, postal address and email address).
Any name changes received from the 20th February 2010 will be handled on-site.

Cancellations/refunds

Cancellations will only be processed upon receipt of written notification. Refunds will be settled within one month of the congress, in order to facilitate necessary organisational and logistic procedures.

Cancellation of registration fees is as follows:

On or before 1st January 2010	Registration fees refunded, less 50 EUR administration fee
On or before 15th January 2010	Registration fees refunded, less 50%
On or before 19th February 2010	Registration fees refunded, less 80%
From 20th February 2010	No refunds

The name change fee (EUR 20.00 after 8th January 2010) is not refundable at any time.

BY BANK TRANSFER:

• Please contact registration@epilepsycongress.org for a bank transfer registration form.
• The registration form has the complete bank details of how to make a transfer payment for registration.
• All charges due on the bank transfer must be paid by the participant and a copy of the bank transfer receipt must be attached to the registration form and returned to the registration@epilepsycongress.org or by fax to +353 1 2123576.
  

BY BANK DRAFT:

• Please contact registration@epilepsycongress.org for a bank draft registration form.
• The Bank Draft, should be made payable to 2nd EMEC Dubai, and must be issued by a bank in Euro.
